A busy paediatric specialist clinic in the Harley Street area is recruiting for a Medical Secretary on a full-time, permanent basis. You must have private healthcare experience for this role

This is a temp – perm role so will not suit someone who has to give a month`s notice

The role will definitely be going permanent

Duties and Responsibilities

Managing Consultants’ diaries

Ensuring that all telephone calls are handled in a timely manner with sensitivity and professionalism

Accurate and strategic booking of appointments

Clinics preparation – obtaining relevant test results and ensuring clinic notes are up to date and contain all information required for the consultation

Organising nurses rota for clinics

Dealing on own initiative with incoming communication and correspondence, handling, delegating and generating responses quickly and appropriately

Liaising with internal and external departments

Liaison with Consultant’s PA’s, hospitals, clinics and pathology labs

Audio typing – urgent letters and admin queries

PA duties when required

Timely filing of patients files and correspondence

Keeping track of new patients statistics

Ensuring the team is kept informed of all issues relating to the Clinics and patients

Close liaison with the nurse, the hospital, PA and consultants regarding clinics schedule and cover

General office duties

Taking card payments

Assisting with set up of telephone conferences – printing documents and setting up consultant computer

Hours will be Monday to Friday -9AM – 5.30 PM/ 9:30-6pm/ 10-6.30pm (half an hour lunch break) – hours may vary subject to business requirements.

***Finishing time might be later on certain days, depending on how busy the clinics are

Skills Required:

Practice Manager (DGL)

MS Office Experience

Audio typing

Excellent verbal and written communication

Medical practice experience
